To open a file, we typically need the executed purchase agreement, contact information for all parties and any loan documents if financing is involved. We may request additional items depending on the property and transaction type.

You can follow your closing progress in real time through our Qualia portal, where updates, tasks, and documents are securely posted.

Qualia provides a secure online platform for communication, document sharing, and status tracking. Realtors and clients receive a unique login once a file is opened. If you did not receive your login email, contact our office for assistance.

Most closings are completed within 30 days, though timelines vary depending on loan approval, title search results, and the responsiveness of all parties. We’ve even closed a file in as little as one week—but that was a cash deal (so don’t get your hopes up too high 😄). In reality, the timeline is usually dictated by the lender.

If you have an urgent question, reach out directly to your assigned escrow officer or processor. You can also contact Lauren Hampton, our Branch Manager, for assistance. Their contact information will be listed in your opening email and within the Qualia portal.

Contract changes can be uploaded directly into the Qualia portal or emailed to your assigned processor. Please notify us immediately of any amendments so they can be reflected in the closing documents.

Earnest money deposits (EMD) can now be deposited directly through Qualia. This eliminates the need for paper checks, making the process fast, secure, and trackable.

If title defects or liens are discovered, your title processor will work with you to resolve them. We are also happy to connect you with attorneys when necessary. If the issue is one we can manage in-house, we’ll handle it for an additional fee.

Yes. We offer remote online notarization (RON) and mobile notary services in most states where we operate. This makes it convenient for buyers, sellers, and Realtors to close from anywhere.
